Type of Stored Data, Purpose and Legal Bases, Deletion Periods

Purpose and Duration of Collection

We process and store your personal data only for the period necessary to fulfill the purpose of storage or as provided for by laws, statutes, regulations, guidelines, or provisions. After the purpose ceases to apply or is fulfilled, your personal data will be deleted or blocked. In the case of blocking, deletion occurs if statutory, regulatory, or contractual retention periods do not prevent this, there is no reason to assume that deletion would impair your legitimate interests, and deletion does not cause disproportionately high effort due to the specific type of storage.

Handling of Personal Data

Personal data is information that can be used to identify a natural person, i.e., details that make individuals identifiable. This includes in particular names, email addresses, matriculation numbers, or telephone numbers. Data about preferences, hobbies, memberships, or information about websites visited also count as personal data.

We only collect, use, and share personal data when legally permitted or when users have consented to the data use.

The use of students’ personal data for study purposes is largely based on the applicable Hessian Higher Education Act in conjunction with the applicable Matriculation Ordinance of the State of Hesse and thus refers to EU GDPR Article 6 Paragraph 1 c).

The data of Goethe University employees for the purpose of personnel administration, teaching, research, and examination activities are collected and processed on the basis of the Hessian Higher Education Act, the Matriculation Ordinance of the State of Hesse, TV-GU, civil service, and personnel regulations.

Log Data

When you access our website, we collect data that is technically necessary for us to display the website to you and to ensure the correct operation of the site. We collect data that your browser transmits to our server (so-called “server log files”).

This data is used exclusively for the purpose of monitoring functionality, security and error correction, and for detecting possible misuse. This use is based on EU GDPR Article 6 Paragraph 1 f). The legal basis is in particular the IuK Usage Regulations of Goethe University. All log files are automatically deleted after a maximum of 7 days. In the case of legitimate interest of Goethe University or due to a legal regulation (e.g. law, legal ordinance, statute of Goethe University, copyright law, etc.), both longer storage and transmission to third parties may occur for the purpose of securing evidence or in the case of legal claims by third parties.

Comments

When visitors write comments on the website, we collect the data shown in the comment form, as well as the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

When you write a comment, it is stored indefinitely including metadata.

This way we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users who register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username).

Website administrators can also see and edit that information. If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

Media

If you are a registered user and upload photos to the website, you should avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website.

Cookies

Cookies are small files that allow device-specific information to be stored on your access device (PC, smartphone, etc.). They serve on the one hand to make websites more user-friendly (e.g. storing login data). You can influence the use of cookies. It expires after 1 day.

Embedded Content from other Websites

Within some pages of this online service, third-party content (such as videos from YouTube, maps from Google Maps, RSS feeds, graphics, etc.) is embedded from other websites. This always requires that the providers of this content (hereinafter referred to as “third-party providers”) perceive your IP address. Without the IP address, the third-party providers could not send the content to your browser. The IP address is therefore necessary for the display of this content. We strive to use only content whose respective providers use the IP address solely for the delivery of the content. However, we have no influence on any further use of your data (e.g., if the third-party providers store the IP address for statistical purposes).
